Field descriptions for invoice layout

This setting was removed from Evatic Service in version 7.4.2 and moved to Evatic Admin Web

This is the screen to enter a new invoice layout:.

Remember! All the fields needed on the invoice have to be selected.  The appropriate description in the text field must also be used.

 

 

Show information from contract:
Contract number Will show the contract number from the contract heading on the invoice layout.
Invoiced date range Will show the date range from the fixed price- or volume row on the invoice layout. E.g. 01.01.2005 -> 31.03.2005.
Invoice frequency Will show the invoice frequency from the fixed price- or volume row on the invoice layout. E.g. 3 (= month).
Fixed price per month Will show the fixed price per month from the fixed price tab on the invoice layout.
Contract row terminated Will show if the contract is to be terminated. Text line as row 2.

 

Show information from machine:

Machine number

Will show the machine number which is connected to the fixed price- or volume row on the invoice layout.

Machine ID number

Will show the machine ID number which is connected to the fixed price- or volume row on the invoice layout.

Model description

Will show the model which is connected to the fixed price- or volume row on the invoice layout.

Machine location

Will show the location of the machine which is connected to the fixed price- or volume row on the invoice layout.

Machine address

Will show the machine address of the machine which is connected to the fixed price- or volume row on the invoice layout.
This check box can be used if the "Machine address" in the part "Invoice price overview" (see below) is not used.

"Always show": If this check box is selected,the address always will be added, even if the machine address is the same as the invoice address.

 

Invoice price overview:

Row before overview*

Will create a extra line before the overview heading. E.g. ................ (dotted line to create a better overview).

Overview heading*

Will show a heading before machine info

Row before machine*

Will create an extra line before the machine info. E.g. ................ (dotted line to create a better overview).

Machine address

Shows the machine address on the invoice layout. Should the <Machine address> be displayed on the invoice, please fulfill the following criteria: A total must be marked,  either Total volume per machine, Total fixed per machine, Total per machine must be selected or Move row info to overview. The machine address has to be a different address than the invoice address

"Always show": If this checkbox is selected,the address always will be added, even if the machine address is the same as the invoice address.

Move row info to overview*

Will show the row info below each machine ('overview heading') and not gathered at the top of the invoice layout.

Invoiced date range

Will show the date range from the fixed price- or volume row on the invoice layout. Note!The choice cannot be used on invoices from meter reading letters. It can only be used if the choice "Move row info to overview" also is set.

Total volume per machine

Will show the total volume price per machine.

Total fixed per machine

Will show the total fixed price per machine.

Total per machine

Will show the total (fixed price and volume) for each machine.

Row before total*

Will create an extra line before the total for the invoice. E.g. ................ (dotted line to create a better overview).

Total for invoice

Will show the total for the whole invoice.

* You must mark one of the following fields to see this option on the layout: Either 'Total volume per machine', 'Total fixed per machine', 'Total per machine' or 'Move row info to overview'.

Only on meter reporting invoices:
Meter reporting date range Will show the period which has been reported (from-to date). E.g. If the letter frequency is 3 months and the next letter date before this reading was 01.01.2006, the period will be 01.10.2005->31.12.2005.
Prev. meter reading date Will show the previous meter reading date.
Prev. meter reading Will show the previous meter reading.
Reported date Will show the date the meter was reported.
Reported meter reading Will show the reported volume of the meter.
Used copies Will show the used copies.
Copies included in contract Shows the copies included in the contract. E.g. for a periodic volume contract, a frequency of 3 months and 1000 copies per month will show 3000 copies included in the contract on the invoice layout.
Alternative text when price is 0 and all is included If there are no excess copies to your invoice you can add a text here to show on the invoice.
Total copies included in contract Shows the total copies included in the contract (e.g. used for total volume contracts to see the total volume for all machines)

Prev. service meter date Will show the Previous service meter date
Prev. service meter reading Will show the Previous service meter reading
Estimated counter Shows that a reported meter is estimated. A text line, which is displayed in front of the field 'Reported meter reading' and could also be displayed behind the field ‘Prev. meter reading' if this reading was estimated.

 

Note! By using the invoice clean function (Evatic Admin Web) several fields can be added to one line. E.g. machine number, model type and location and/or prev. meter reading, reported meter reading and used copies (see Company XXX/Department YYY/INVOICE_CLEAN_ON and INVOICE_CLEAN_M_INFO_1_LINE / INVOICE_CLEAN_METER_O_N_U_1_LINE

 

Show information from accessories (Fixed price lines)

Row before accessories Will create an extra line before the accessory info. E.g. ................ (dotted line to create a better overview).
Accessories heading Will show a heading before accessory info
Accessory name - Article No
- Article Descr.		 What should be added as name/number on the invoice

 

Invoice layout:

Invoiced price per copy

Will show the price from the volume row (Price per unit) on the invoice layout.

Minimumprice text (use brackets)

Will show minimum price on 004 contract (mark if minimum price should be shown in brackets behind the price)
- Need to mark "Invoiced price per copy" in order to see this minimum price.
- This price will only show if the normal price is lower then the minimum price.

Invoiced no. of copies

Will show how many units which have been invoiced.

Invoiced no. extra copies

Will show how many excess units which have been invoiced.

Total invoiced no. of copies

Will show the total units which have been invoiced.

Excess copies

Will show the qty. of excess units.

Invoiced (from->to)

Will show the meter invoiced from-to. E.g. for a new machine 0->5000.

Total invoiced (from->to)

Will show the total meter invoiced from-to.

Meter name

Will show the meter to be invoiced. E.g. Color (it is the description of the meter which will be displayed on the invoice layout.)
